How to Use SharePoint Online
š Step 1: Access SharePoint Online
Go to https://portal.office.com
Click the SharePoint app from the Microsoft 365 dashboard
Or access directly via a site URL (e.g. your team or project site)
š You must be signed in with your Microsoft 365 account
š Step 2: Understand the Main Interface
Home / Start Page: Shows frequently visited sites and news
Left Navigation Bar: Quick access to document libraries, pages, lists, and more
Document Library: Where team files and folders are stored
Site Contents: Overview of all the siteās featuresālists, libraries, pages, etc.
š Step 3: View, Upload, and Share Files

Select a document ā click Share
Choose recipient and access level (view/edit)
Optional: Set expiry or password
š Step 4: Create and Edit Documents
Click New to create a Word, Excel, PowerPoint, or OneNote file directly in the browser
SharePoint uses co-authoring so multiple users can work on the same document in real time
Documents save automatically in Microsoft 365
š Step 5: Sync Files with Your Computer
Click Sync in any Document Library to sync files to your desktop via OneDrive
Access SharePoint files directly from File Explorer
Files remain in sync automatically when online
š° Step 6: Use Pages and News Posts
Use the Pages section to create intranet-style content
Click New ā Page or News Post
Use built-in templates to format content visually (text, images, quick links, etc.)
š Tips
Use the Search bar at the top to quickly find files, people, or content across your site
Favourite sites by clicking the star icon to pin them for quick access
Check Version History to restore or review changes to documents
Permissions are controlled at file, folder, or site levelāensure the right people have the right access
